Doctors and Clinic Organisations use different dashboards and permissions. The instructions below keep those responsibilities separate.

Professional account

Guide for Doctors and staff

Instructions for the public profile, services, locations, availability, calendar, appointments, SMS, staff and subscription.

Doctor quick start

Account, sign-in and security

Accessing the professional dashboard and protecting the account.

Accessing the account

Use the email address associated with the professional account. After sign-in, RomDoc directs you to the dashboard matching your role.

  • Do not use a colleague's account or give your password to staff.
  • Confirm that you are working in the correct Doctor profile before making changes.
  • Sign out on shared or public devices.

Separate roles

The Doctor, staff member, Clinic Manager and platform Administrator have different permissions. Every person should use a separate account.

  • The Doctor controls their own profile and professional activity.
  • Staff use only the assigned administrative functions.
  • A Clinic Manager manages the organisation, not a patient's medical information.

Public profile, services and prices

Updating the information displayed to patients.

Doctor profile

Complete the professional information that helps a patient identify the appropriate Doctor. Review the public page after saving.

  • Keep the name, specialty and professional details accurate.
  • Use a clear professional photograph when the option is available.
  • Do not publish sensitive information or patient data in the description.

Services and fees

Add the services offered and their indicative fees. A patient should understand what may be requested before booking.

  • Use short, clear service names.
  • Update fees when the practice changes.
  • Remove services that are no longer available.

Locations, availability and calendar

Defining where and when appointments can be accepted.

Work locations

Associate the Doctor with the correct work locations. Locations requiring verification or approval become public only after the relevant process is completed.

  • Check the clinic name and address before saving.
  • Do not create duplicate records for the same location.
  • Choose the correct location when creating a manual appointment.

Availability

Configure working days, hours, appointment duration, breaks and unavailable days. These rules control the slots offered to patients.

  • Avoid overlapping ranges.
  • Update leave and exceptions before patients request appointments.
  • Review the result in daily, weekly or monthly calendar views.

Appointments and calendar actions

Managing online, telephone and staff-entered appointments.

One calendar

Enter online, telephone, reception and other appointments into the same calendar. This reduces the risk of double-booking.

  • Enter the patient name and the phone number required for notifications.
  • Select the correct Doctor, location, date and time.
  • Check for overlaps before saving.

Appointment statuses

Use the action that accurately describes the appointment. The history should remain clear for the Doctor and staff.

  • Confirm accepted requests.
  • Reschedule when the date or time changes.
  • Mark the appointment completed, no-show or cancelled as appropriate.

Creating a manual appointment

Recording appointments received by telephone or at reception.

Required information

Enter enough information to identify the appointment and send notifications. Do not place medical notes in administrative fields.

  • Patient name and phone number.
  • Appointment date, time, location and duration.
  • Booking source and only the necessary administrative comments.

After saving

Review the appointment in the calendar and confirm it according to the practice workflow. Correct a wrong date or location immediately.

  • Do not create a second appointment for the same request.
  • Use rescheduling rather than cancel-and-duplicate when possible.
  • Inform the patient about important changes.

Confirmation and reminder SMS

How appointment notifications are sent and billed.

Sending SMS

RomDoc can send an SMS when an appointment is confirmed and a reminder approximately 24 hours before it, when the service and notification type are enabled.

  • The patient's phone number must be valid.
  • The same event should not be sent repeatedly for one appointment.
  • Skipped or failed messages are not treated as successfully sent SMS.

SMS cost

Successfully sent SMS are tracked separately from the Doctor subscription. The applicable cost is displayed in billing and usage reports.

  • Review the number of sent SMS each month.
  • Confirmations and reminders are reported separately.
  • Contact support if a sent message does not appear in the report.

Staff and delegated tasks

Providing administrative access without sharing the Doctor account.

Separate staff accounts

Add staff through the dedicated function and assign the required access. Do not give another person the Doctor's password.

  • Every staff member uses a separate account.
  • Access is limited to the assigned Doctor and activity.
  • Remove access when the working relationship ends.

Doctor responsibility

The Doctor remains responsible for the accuracy of the profile, availability and actions performed for the practice.

  • Review appointments and staff access regularly.
  • Correct an incorrect administrative action promptly.
  • Report suspicious access to support.

Subscription, payment and billing

The difference between an Independent Doctor subscription and clinic-funded coverage.

Independent Doctor

An Independent Doctor account uses the RomDoc subscription offered during registration. Subscription payment and SMS usage are separate commercial flows.

  • The public subscription is 20 EURO/month or 200 EURO/year, plus applicable VAT.
  • Subscription payment is processed through the payment flow available in the account.
  • Successfully sent SMS are calculated separately.

Clinic-invited Doctor

For an account created through a Clinic Organisation invitation, commercial responsibility may belong to the organisation according to the configured relationship.

  • Do not create a second Independent Doctor account for the same collaboration.
  • Ask the Clinic Manager to correct the location or coverage.
  • Contact support if the account type does not match the accepted invitation.

Medical Folder, privacy and support

Using medical information only in an authorised context.

Authorised medical access

Use Medical Folder information only for the patient and context for which access is authorised. Do not copy medical information into public or administrative fields.

  • Access only information required for care.
  • Do not distribute documents through insecure channels.
  • Respect patient revocation or access expiry.

Problems and incidents

For technical errors, unusual access or incorrect information, use the contact page and provide administrative details without placing medical information in the initial message.

  • Mention the page and action performed.
  • Include the approximate date and time of the problem.
  • Do not send passwords, access codes or medical documents through the general form.

Organisation administration

Organisation access and account security

Using the Manager account for the correct organisation.

Organisation dashboard

After sign-in, a Manager sees only organisations and functions for which they have active access. Check the organisation name before making changes.

  • Do not use one shared account for several Managers.
  • Keep Manager access separate from a personal Doctor account.
  • Report an unknown account or organisation immediately.

Administrative permissions

A Manager administers the organisation structure, Doctors, locations and available commercial information. The role does not provide general medical access to patients.

  • Use invitation and association functions, not the Doctor's account.
  • Review organisation members and access regularly.
  • Remove people who no longer represent the organisation.

Organisation locations

Managing clinics and addresses associated with the organisation.

Adding and associating locations

Use Locations to connect the organisation with clinics where it operates. A public location requires a correct address and the status required for publication.

  • Search for an existing location before proposing a new one.
  • Check the name, address and contact information.
  • Avoid duplicate records for the same clinic.

Associating Doctors

After an invitation is accepted, assign the Doctor to the correct location. This association supports the public profile, appointments and organisation reporting.

  • Do not assign a Doctor to a location where they do not work.
  • Update the association when the collaboration changes.
  • Check the location before enabling commercial coverage.

Doctor invitations and accounts

Inviting Doctors and tracking account acceptance.

Sending an invitation

Enter the email address the Doctor will use for RomDoc and select the appropriate organisation and location.

  • Confirm the address with the Doctor before sending.
  • Do not send repeated invitations for the same account.
  • Check invitation status before creating another one.

After acceptance

The Doctor creates or connects their own account. The Manager can then review the relationship, location and payment responsibility without changing the Doctor account identity.

  • The clinic-invited account remains linked to the organisation that created it.
  • Do not convert an existing Independent Doctor account through manual edits.
  • For an incorrect association, contact support before creating additional accounts.

Managed Doctors and subscription coverage

Defining the Doctors whose costs are covered by the organisation.

Clinic-funded coverage

An active relationship with clinic payment responsibility is included in the organisation's managed subscription count.

  • Review the active Doctor list each month.
  • End or pause coverage when a collaboration ends.
  • Do not retain coverage for unaccepted invitations or incorrect accounts.

Separate account models

Clinic-invited Doctors should not simultaneously hold a direct Independent Doctor subscription for the same account.

  • Payment responsibility is defined by the organisation relationship.
  • Account identity does not change after creation.
  • A different commercial structure may require a new correctly configured account.

Billing details and costs

Reviewing subscriptions, SMS and invoicing information.

Organisation details

Keep the legal name, tax identification, address and billing email accurate.

  • Use the details of the entity receiving the invoice.
  • Update information before the month is closed.
  • Review the applicable VAT treatment with the accounting contact.

Monthly estimate

Billing shows the managed Doctor count, SMS usage and estimated costs. The official invoice is recorded separately by a RomDoc Administrator or accounting operator.

  • Compare the Doctor list with active collaborations.
  • Review the SMS count before invoicing.
  • Report discrepancies before the invoice is issued.

Organisation SMS usage

Viewing billable messages without exposing medical information.

What a Manager can see

The SMS report shows delivery and billing metadata for Doctors covered by the organisation.

  • Confirmation and reminder SMS counts.
  • Sending status and billing period.
  • Estimated cost under the applicable rate.

What is not displayed

To protect patients, organisation reporting must not expose SMS content, the full phone number, medical notes or Medical Folder documents.

  • Contact details may be masked.
  • The Manager reviews usage, not clinical information.
  • A technical investigation is handled through support with controlled access.

Privacy, boundaries and support

Separating organisation administration from patient medical information.

No Medical Folder access

The Clinic Organisation Manager role does not provide access to a patient's Medical Folder, diagnoses, clinical notes or medical documents.

  • Do not ask Doctors to share their account or medical access.
  • Use only the available administrative and commercial reports.
  • Follow the principle of minimum necessary access.

Requesting support

For invitation, location, coverage or billing problems, provide the relevant administrative identifiers and avoid including patient medical information.

  • Mention the organisation and dashboard section.
  • Describe the steps taken and the result observed.
  • Do not send passwords or medical documents in the initial message.

Important privacy boundary

Platform Administrators and Clinic Organisation Managers do not receive access to a patient's Medical Folder. Medical access remains separate from platform administration, billing and usage reporting.
